Structured Software, Inc. Privacy Policy

This Privacy Policy explains how Structured Software, Inc. ("we," "us," "our") handles information for our websites, SaaS platform, APIs, and apps that power AI tools for construction design engineers. We are based in the United States and our Services integrate with office productivity suites, BIM platforms, procure and other industry softwares.


1) Scope & Roles

  • We act as controller for Account Data (e.g., admin, billing, and marketing preferences) and as processor/service provider for Customer Content you or your organization upload or generate in the Services (e.g., drawings, BIM models, specs, calculations, prompts, and outputs), processing it only under your/your organization's instructions and our agreement (e.g., Terms + DPA).

  • If you use an organizational account, your admin controls access, settings, and retention for Customer Content.


2) Data We Collect

  • Account & Identity: name, employer, role, email, phone, SSO identifiers.

  • Customer Content (Project Data): files and data you submit or generate (may incidentally include personal info in project documents).

  • Usage & Diagnostics: feature usage, event logs, IP, approximate location (city/region), device/app IDs, crash reports.

  • Device & Technical: browser/OS, device type, language, connection details.

  • Communications: support requests and feedback (and research call recordings with notice).

  • Payments: subscription details and invoice records (card data handled by our processor).

  • Cookies/SDKs: see Section 8.

  • From third parties: SSO, office suite, BIM and other integrations you connect, analytics, partners, and resellers.


3) How We Use Information

  • Provide and operate the Services, including authentication and integrations.

  • Secure and maintain integrity (monitoring, preventing abuse, debugging).

  • Improve & develop features using analytics and de‑identified/aggregated insights.

  • Communicate about service changes, security, and support.

  • Market with consent or as permitted by law (opt out anytime).

  • Comply with legal obligations and enforce agreements.

Legal bases (EEA/UK): contract performance, legitimate interests (security, improvement), consent (e.g., certain cookies/marketing), and legal obligation.


4) AI Features, Training & Human Review

  • We do not use Customer Content to train models (ours or third‑party) unless you or your organization explicitly opt in.

  • Some features may use third‑party model providers/infrastructure acting as our sub‑processors under confidentiality and security obligations.

  • Limited, role‑based human review may occur for safety, abuse prevention, and debugging.

  • Outputs are assistive for professional judgment; we don’t make decisions with legal or similarly significant effects without human involvement.


5) Sharing & Disclosure

We share information with:

  • Service providers & sub‑processors (hosting, inference, analytics, email, support, payments).

  • Integrations you enable (e.g., office suites, BIM/CAD tools, CDEs, and issue trackers), sharing the minimum necessary data to perform the integration.

  • Professional advisors (law, audit, insurance).

  • Corporate transactions (merger, acquisition, financing, or sale).

  • Legal & safety purposes.

  • Aggregated/de‑identified information that does not reasonably identify you.

We do not sell or share personal information for cross‑context behavioral advertising as defined by U.S. state privacy laws.


6) International Transfers

We primarily process data in the United States. Where required for cross‑border transfers, we use appropriate safeguards (e.g., EU Standard Contractual Clauses and the UK International Data Transfer Addendum) and any additional measures needed.


7) Retention

We keep personal information only as long as necessary for the purposes above and to meet legal obligations. Enterprise admins may set retention for Customer Content. After termination or upon request, we delete or de‑identify data in line with our agreement, subject to lawful retention requirements and backup cycles.


8) Cookies & Tracking

We use:

  • Essential cookies for login and security,

  • Functional cookies for preferences, and

  • Analytics cookies to improve the Services.
    Where required, we ask for consent. You can manage cookies in your browser or our controls. Blocking some cookies may affect functionality.


9) Your Rights

Depending on your location, you may request access, correction, deletion, portability, and to object/restrict certain processing, or withdraw consent. We may need to verify your identity. If you use the Services via an organization, contact your admin first; we may work with them to fulfill your request. You can lodge a complaint with your local authority (e.g., ICO in the UK).

California (CPRA). For Customer Content, we act as a service provider/contractor to business customers. For Account Data, you may exercise rights including access, deletion, correction, and limiting use of sensitive personal information where applicable. We do not sell or share personal information for cross‑context behavioral advertising.


10) Security

We implement appropriate technical and organizational measures (e.g., encryption in transit, access controls, monitoring).


11) Children

Our Services are for professional use and not directed to children. We don’t knowingly collect personal information from anyone under 18. If you believe a child provided information, contact us.


12) Third‑Party Services

Our Services may link to or integrate with third‑party platforms (e.g., office suites, BIM, CDEs). Their privacy practices are their own; review their policies before enabling integrations.


13) Changes

We may update this Policy. We will post the updated version and revise the effective date; where changes materially affect your rights, we’ll provide additional notice as required.
